Wedding Policies
General
Season: Weddings are hosted November–February because we are an outdoor venue. We are closed mid-March–October for the summer and rainy seasons, though exceptions may be granted upon request.
Event Times: Choose from
Daytime Event — 8:00 AM to 3:00 PM
Evening Event — 3:00 PM to 10:30 PM
What’s Included: We provide venue and accommodation only. All other needs - food, rentals (tables, chairs, linens), decor, entertainment, flowers, centerpieces - are arranged separately, typically by your wedding planner, are your responsibility.
Capacity: Maximum 150 guests. Please notify us if your guest count exceeds the original quotation. Penalties apply for exceeding capacity.
Booking Timeline: Reserve your date at least 6 months in advance. We recommend booking as early as possible to secure the venue and accommodations for your preferred dates.
Security Deposit: Clients must take utmost care to avoid damage to the facilities. The client is responsible for any damages to the property or facilities during the event.
Vendors
Open Policy: The Heritage House & Garden welcomes outside vendors at no extra charge, including outside beer and alcohol.
Responsibilities: While vendors handle their own setup, break down, and clean up, the client is ultimately responsible for ensuring this is done. All vendor items must be removed by 5:00 PM the next day, or earlier if another event is scheduled. The Heritage House & Garden will inform the client and planner in advance if an earlier time is required.
Preparation Access: The venue is available from 9:00 AM to 7:00 PM the day before the event for preparation (drop-offs, decorating, etc.). Overtime charges of up to 5,000 baht may apply for additional lighting and decoration time.
Clean-Up Deadlines: Food-related trash must be removed on the event night. All other vendor items must be picked up by 10:00 AM the following day. Exceptions may be granted if another event is scheduled.
Additional Charges: Unusual clean-up requirements may result in a cleaning fee of up to 5,000 baht.
Vendor List: The customer must provide a complete list of vendors and contact details before the event date for emergency purposes.
Guidelines: All vendors must follow the venue’s guidelines. It is the customer’s responsibility to share these guidelines with their vendors.
Venue Includes
Exclusive Access: Enjoy private use of the garden lawn and grounds, BBQ area, pool house, and sunset pavilion with fireplace seating.
Outdoor Kitchen: An outdoor preparation kitchen is available for larger events.
Pre-Wedding Photoshoot: A complimentary pre-wedding photoshoot venue at The Heritage House & Garden is included. Advance booking required. Photographers are not included, though we can recommend trusted professionals.
Facilities: Three designated toilet areas - two for guests and one for staff.
On-Site Café: Café Heritage (now called Grip Coffee) is open from 8:00 AM to 5:00 PM, serving coffee, refreshments, homemade brunch, and desserts for your guests.
Lighting: Basic illumination of the grounds is provided when night falls.
Parking: On-site parking for up to 100 vehicles with designated parking staff.
Wedding Planner
Recommendation: We suggest hiring a wedding planner within 60 days of booking the venue. While we do not offer in-house wedding planning - as it is a specialist role - we can recommend trusted planners we have worked with in Chiang Mai and beyond.
Planner Responsibilities:
Maintain your agenda for the rehearsal, ceremony, and day/evening event.
Act as decision-maker on your behalf when working with all vendors, including caterers, bar service, florists, and entertainment.
Collaborate with The Heritage House & Garden staff during the event to ensure everything runs smoothly.
After the event, conduct a final walk-through with venue staff to assess any damages or excessive clean-up.

Accommodation
Manor House: Our European-style villa features 5 bedrooms and 3 suites, sleeping up to 16 guests comfortably (2 persons per room). Up to 4 additional guests may be accommodated in the suites for an extra charge. All Manor House guests enjoy a complimentary breakfast.
Cottages: We also offer three family-style cottages -Dragonfly Cottage, Tuscan House, and Gate House -each sleeping 4 guests as standard. They include self-catering kitchen facilities, living space, and garden views. Breakfast is not included but can be purchased. Extra guests are 400 baht per night.
Guest Limits: The number of guests staying in the Manor House and cottages must not exceed the agreed-upon total, or extra charges will apply.
Property Access: For security and preservation of the property - including antiques, collectibles, and furnishings - and to protect the privacy of accommodation guests, outside guests (non-accommodation) are not permitted to enter the Manor House or cottages without being accompanied by a stay-in guest or with prior management approval.
Additional Lounge Space: If you require more indoor space, the downstairs common area of the Manor House may be rented for an extra fee.
Dressing Room
Complimentary Rooms: Up to two dressing rooms are provided free of charge, based on availability. The specific room is assigned by the venue and can be accessed two hours before the event start time until the end of the event.
Additional Space: If you require more dressing room space, additional bedrooms may be rented for an extra fee. If you have reserved all accommodation, you must designate one bedroom to act as a dressing room, as no external dressing rooms are available.
Access Times: For daytime events, dressing rooms are available from 8:00 AM. For evening events, they are available from 12:00 PM.
Furniture
Guest Etiquette: The Heritage House & Garden - encompassing the Manor House and three cottages - is a historic, artistically curated property with furnishings that are primarily antiques or period reproductions. As we are not a commercial hotel, please treat all items and facilities with care and respect.
Care for Furnishings & Finishes: Please treat antiques, wood surfaces, upholstery, artwork, and appliances with care. Spills should be addressed immediately and coasters or protective mats used where provided. Additional cleaning beyond standard service may incur a fee.
Children & Supervision: Children must remain under direct adult supervision at all times. Unsupervised wandering on the grounds is not permitted for safety and preservation reasons.
Smoking & Designated Areas: Smoking is permitted only in designated outdoor areas. Please use the provided ashtrays and refrain from disposing of cigarette butts elsewhere; items found outside the designated area will be classified as damage and assessed accordingly.
Restoration After Use: For both indoor and outdoor ceremonies, it is the client’s responsibility to ensure all furniture is returned to its original location and all areas are restored to their original appearance.
Entertainment
Quiet Hours: All entertainment must conclude by 10:30 PM unless pre-approved in writing. This ensures respect for our neighbors and the surrounding temples.
Afterparties: Afterparties are not permitted on the property. Overnight guests may continue to socialize quietly in designated areas, but all professional sound and lighting equipment must be powered down, packed, and staged for pickup.
Late-Night Music: If you choose to mingle after 10:30 PM, Bluetooth speakers are permitted for low-volume background music only. Please keep sound at a conversational level.
Special Effects & Aerial Devices: Certain fireworks, drones, sparklers, and lanterns may be allowed with advance approval from The Heritage House & Garden.
Special Installations:
Large structures, such as stages requiring heavy machinery for setup, are not permitted.
Installations that require driving poles or structures into the ground are prohibited to protect lawns and landscaping.
Vendor installations requiring more than one day to set up must be pre-approved and may incur additional setup fees.
Weather
Weather Contingency: Outdoor events carry inherent unpredictability, and as a garden venue we are especially mindful of changing conditions. Rain is the primary concern in our region and can occasionally cause power interruptions. Thailand’s rainy season typically spans July through the end of October.
Proactive Planning: If your wedding is scheduled in early November, which follows the Thai rainy season, work with your planner to establish a clear contingency plan, such as reserving canopies or tents on standby to accommodate sudden weather changes and protect key areas such as ceremony, dining, and pathways.
Indoor Space & Limitations: Due to limited interior capacity, we are unable to provide indoor setups or décor in the event of inclement weather. While we work to minimize disruption, weather-related impacts are natural events beyond our control.
Guest Communication: Inform guests in advance about variable conditions so they can prepare appropriately. Encourage weather-ready attire and footwear for wet or soft ground.
Power & Equipment: In case of rain-related outages, generators, weather-rated cabling, and covered AV setups are strongly recommended. Please consult your vendor team regarding backup power and waterproofing.

Parking
Complimentary parking is available for all guests, with the gravel lot behind the property accommodating up to 100 vehicles.
A dedicated parking attendant will be on site to direct traffic, guide guests to available spaces, and support an efficient flow throughout arrivals and departures.
Postponements & Cancellations
Cancellations: Cancellations made up to 60 days prior to the event date will result in forfeiture of half of the Down Payment. Cancellations made within 60 days of the event will result in forfeiture of the entire Down Payment.
Accommodation Changes: Modifications or cancellations of required accommodation rooms/nights within 90 days of the event may incur a modification fee or forfeiture of the entire Down Payment, depending on the circumstances. Additional venue and accommodation dates are subject to availability.
Transportation Adjustments: Changes to transportation within 90 days of the event will incur a modification fee. Please coordinate updates through your planner to minimize impact.
Postponements: Postponement requests due to unforeseeable circumstances (e.g., death, pandemic) will be reviewed case by case by management and are generally accommodated, subject to date availability and any applicable rate differences.
Force Majeure: In the event of unforeseen circumstances beyond reasonable control - including but not limited to global pandemics - the venue reserves the right to postpone or cancel the event. Neither party shall be liable to the other for claims, damages, costs, or expenses arising from cancellation, rescheduling, or venue changes due to such events.
Weather-Related Venue Use: Last-minute cancellations of outdoor sites due to inclement weather are not eligible for refunds. We encourage proactive contingency planning to mitigate weather impacts.
